The meeting was held at the Madison Assembly of God Church.

SELECTED COMMITTEE REPORTS

 

Landscaping Committee: Paul Hurst reported

I.  Dick Clem has been working with our landscapers, Turf Tamers, on general common ground issues like weed control and flowerbed control, to which special attention will be given.

II. Paul and Dick have finished thinning out the pine trees on the outbound side of Bradford Farms Drive and will now begin work on the inbound side. They expect to be finished by mid-June.

 

Maintenance Committee:  Dick Clem

I. General Maintenance

·        All trash containers emptied as needed

·        Bradford Farms Drive policed as needed

·        Ponds policed as needed

·        Debris from one badly damaged Bradford pear tree was cleaned up and removed. The rest of the tree will be cut down and removed from the area. All pine trees on the north side of Bradford Farms Drive scheduled to be removed are down and gone.

·        Several “For Sale” signs and political signs have been removed from community property as well as the city’s easement.

·        Work has started on the repair and upgrading of the community’s irrigation system. A problem with a leak under the sidewalk has slowed down progress. Most of the system is up and running. More to come on this subject under “New Business”.

II. Easement Maintenance Issue

·        Turf Tamers has agreed to take over the maintenance of the easement at 401 Barrington, as requested by the property owner due to family illness.  We will pay Turf Tamers an additional $25 per month.

Architectural Committee: Ed Ditto

The Covenant letters have been distributed. Three requests for maintenance permission forms have since been received. One form has already been delivered and the other two will be delivered this week.

 

 

OLD BUSINESS

 

  1. The retyped pages of the Covenants have all been proofed. Paul will handle getting the document posted on the website along with the By-Laws.

2.      The problem of insufficient lighting at night around the median at the entrance to the subdivision is being addressed. Dick Clem has purchased 6 low voltage lights (3 for each side) for $100 and will install them this month.

  1. Lois reported that the bank check signing card has been updated and is still waiting for Mark Wilson to go sign.
  2. Community Yard Sale preliminary activities have all been completed. The new sign is up, the ad is in the paper and flyers have been handed out to all residents. The Yard Sale is May 20.
  3. Lois checked our post office box, and no extra keys were inside. She will handle getting an extra mailbox key from Doug at the post office.

 

 

 

NEW BUSINESS

 

  1. Webmaster – Paul reported that Mike Johnson, our Webmaster, apparently has been incommunicado for a long time and the website has therefore not been updated. Efforts to reach him have been unsuccessful. Jim Terry offered to look into the matter. If Mike is really unavailable, we will find a replacement to handle the website.
  2. Social Committee - Paul raised the question of whether a “Social Committee” is still necessary. Lois Brown explained that the social committee falls under the umbrella of “Social Activities”, which is already budgeted for. The Board agreed that if anyone wants to run a social activity for the community at large, he/she should contact someone from the Board. The Board can then vote whether or not to allocate money for the event.
  3. Objectives - Paul referred us back to the list of 12 Objectives that the Board had put together in January. He reported that 9 out of the 12 objectives (75%) have already been accomplished. (see attached) and the other 3 are being worked on.
  4. Irrigation System – Dick explained that, since repairs have already begun, it makes sense to spend extra money to upgrade as well as repair the existing problems, ensuring that the system will then work perfectly. Doing this will cost additional money. Lois said that our budget allocates $400 specifically for Irrigation as well as $1000 for Front End Maintenance. The Board agreed to use this Irrigation money in addition to the monies already allocated for the project from Front End Maintenance so the job can be finished properly.
  5. Reflector paint on front entrance curbs - Bob Richardson suggested that we look into painting the front entrance curbs with reflector paint,  in addition to the new lighting we plan to install.  He agreed to research the cost and availability of such paint and to report back to the Board.
  6. Algae in ponds - Paul brought up the problem of algae starting to return to our two ponds and asked for permission to buy 8 pounds of more copper sulfate. Lois explained that there is still plenty of money in the budget, so Paul will buy more and treat the ponds again.
  7. Trees on median – Dick mentioned that 5 large Bradford pear trees still remain on the median. These are the fragile trees that fall during severe storms. As they fall, they’ve been replaced with young Cleveland pears, which are hardier trees. He said that as the large trees continue to fall, they have the potential to damage the smaller, newer trees by falling on top of them. Dick and Paul, with Board approval, agreed to selectively remove the Bradford pears that are growing very close to the new Cleveland pears. Once the 5 remaining Bradford pears are gone, we will then hire someone to remove all the old stumps and plant more small Cleveland pears.
