Board of Directors Meeting

May 17, 2005

 

The meeting was held at the Madison Assembly of God Church and was opened at 6:00 pm.

 

Board Members Present:  Jim Terry, Rosemary Terry, David Seitz, Paul Hurst, and Keith Ryan

 

Board Members Absent:  Dick Clem and Alisa Gaultney

 

Property Manager Present:  Lois Brown

 

Visitor’s Present:  John Stoner, Gloria Richardson, and Bob Richardson

 

Reading of the Minutes:  The minutes of the previous meeting were approved via e-mail.  After approval, the minutes were posted on the home page at http://bradfordfarms.com

 

Treasurer’s Report:  The treasurer was absent and no report was given.  The treasurer reported in April that twenty-eight homes have not paid fees.  The three lots have not paid fees.

 

Property Manager’s Report:  The total cash balance is $34,036.35.  The balance in the reserve fund CD is $19,061.34.  The total balance is $53,098.69.

 

Architecture Committee Report:  None. 

 

Landscaping Committee Report:  None

 

Maintenance Committee Report:  Jim reported the three new trash cans have been installed in the subdivision. 

 

Welcome Committee Report:  None

 

Old Business:  The Turf Tamers Lawn Care Company has not been paid for three months.  Lois reported no invoice was sent to the Homeowners Association for payment.  Two payments have been made and another one will be sent for the lawn care service that was done yesterday.

 

Money to pay for the garbage cans and picnic table will come from the money allotted for a social committee.

 

Lois will notify the bank tomorrow of the number of the last check to be signed with a single signature.  From now on, all checks issued by the homeowners association will have two signatures. 

 

Lois is not sure if the database program is working now because she and Alisa have not compared data.

 

A past due member fee notice with intent to place a lien on property will be sent June 1, 2005.  A letter will go out July 1, 2005 notifying homeowners who have not paid their fees that a lien has been placed on their property.

 

A second e-mail has been sent to Bob Wagner about people trying to sell their cars by parking them at the entrance of the subdivision.  Jim has asked for no parking signs or parking for service vehicles only to be installed at this spot.  Jim will wait two weeks and then send an e-mail to the mayor.

 

Jim has asked Bob Wagner to tell us how to donate the small areas of common property in Bradford Farms to the city for the Green Space project.   Bob has not yet responded to the request. 

 

Repair on the walls at the entrance to the subdivision has been completed by Erik Adams of Adams Home Repair,(256)430-2379.

 

The speaking out section of the homepage has been hidden.

 

Rosemary reported two bids for a new roof on the gazebo and two bids for painting of the wood and floor of the gazebo.  She presented a bid from Creative Construction Co. for $1,150.00 to remove the old shingles and replace the roof.  She presented a maximum bid from Real Deal Exteriors, Inc. for $1,275.00 to roof over the existing roof.  The amount might be lower.  She presented a bid from Ben’s Painting to clean and paint the wood and floor of the gazebo for $625.00.  She presented a bid from Adams Home Repair to clean and paint the wood and floor of the gazebo for $495.00.  The board voted unanimously to accept the bids from Daniel Hubbard’s Real Deal Exteriors, Inc. 200 Cypress Creek Drive, Madison, Alabama 35758 at telephone numbers 256-895-7588 or 256-513-0680 cell, and from Adams Home Repair.  Work on the roof will begin in two weeks.  The wood and floor will be painted after the work on the roof has been completed.

 

Jim reported the amount of funds set aside for lake maintenance is $9,000.00.  The board voted unanimously to use these funds to reduce homeowner fees for next year.  This decision and the reason for the reduction in fees will be announced in the quarterly letter that goes out July 1, 2005. 

 

Lois was provided with a new mail box key.

 

The board voted unanimously to stop research on the playground and kill the playground issue.

 

New Business:  Thank you to Paul Hurst and Mike Glazik who cut up the tree that fell in the median during the last wind storm.  Paul will check on a price for renting a stump grinder.  He will check on some ideas for other kinds of trees.  Information will include what kind, cost, etc.  The board voted unanimously for him to proceed with a study.

 

Alisa will ask Turf Tamers to use a weed control treatment on the median and to tell them we are not satisfied with the clumps of pine needles they left along the median.

 

Jerry and Linda Lyons requested approval to install an above ground swimming pool in their yard.  The board unanimously voted against the pool because it is in violation of the covenant and bylaws of the association.

 

Jim will take pictures of yards with excessive weeds next week.  Letters and pictures of the yards will be sent to the homeowners who need to cut their grass.

 

Next month, Keith will present a suggestion for a yard of the month award for the subdivision.

 

The next meeting will be June 21, 2005.
