Board of Directors’ Meeting
December 14, 2004
The meeting was held at The Madison County Library, City of Madison Branch and was opened at 6:06 pm.
Board Members Present: Jim Terry, Rosemary Terry, Alisa Gaultney, and Joe Bradford
Board Members Absent: David Seitz and Vonderri Morris
Property Manager Present: Lois Brown
Visitors Present: Dick Clem, Rick Holman, Carolyn Glazik, Monroe Mitchell and Gloria Richardson
Treasurer’s/Property Manager’s Report: We have a cash balance of $19,059.63. Eight accounts remain uncollected. Holloway Credit Bureau Companies would like to start the full collection procedure on delinquent accounts after January.
Architecture Committee Report: No report
Landscaping Committee Report: We will have a contract with Turf Tamer’s for both landscaping, fertilizing, and lawn care. The cost is the same as last year’s services.
Social Committee Report: No report
Welcome Committee Report: No report
Old Business: The budget for 2005 was approved. The budget will be presented to the homeowners at the annual meeting in January.
Jim Terry reported on the status of the small claims lawsuit with Buck Gosnay. The attorney will ask for a dismissal.
New Business: Dates for letters about homeowner fees were approved as follows:
Initial letter ($150.00 due) goes out before December 31
Second letter (60 days past due notice) goes out March 3
Third letter (past due notice with intention to place a lien on the property) goes out June 1
Fourth letter (letter with return receipt stating a lien has been place and bills will be turned over to a collection agency) goes out July 8
Proxy cards for the homeowner board election go out in December initial letter requesting homeowner fees. The cards are to be returned to the post office box.
Four board members will be elected at the January annual meeting, due to rotation and resignations. Jim will call the present board members to ask if they wish to return for another term.
Thank you to Jim and Rosemary Terry, Joe Bradford, Alisa Gaultney, Carolyn, Mike, Brandon, and Kyle Glazik for decorating the entrance to the subdivision.
Carolyn will give Jim a copy of the Christmas decoration plan for the entrance of the subdivision.
Many of the Christmas decorations are broken and faded. Alisa will purchase new decorations.
The wall at the entrance of the subdivision is in need of repair. Dick will do the necessary work to repair it.
Joe will research another company for buying more durable flags for the entrance.
The board denied Mr. Rupert’s request to plant trees on Bradford Farms property because of liability issues.
The meeting was adjourned at 7:30.
The next meeting will be January 18 at 6:00 at the Madison County Library.
